2019 Annual Session

Pacific Yearly Meeting’s 2019 Annual Session will take place July 12-17, 2019 (Friday through Wednesday), at Walker Creek Ranch near Petaluma, CA, USA.  This year’s theme is “Dwelling in Truth and Trusting Divine Spirit,” as described in the Clerk’s Call to Annual Session 2019.

REGISTRATION will open in May. The attendance fees list is available now.

This page will contain information and individual documents related to the preparation for and conduct of the 2019 Annual Session, as well as its outcomes.  At present it is mostly just a placeholder for information that will be posted in the future.  For information about PYM Annual Session in general, please see the Annual Session Information page.

Some Deadlines for Annual Session 2019

  • INTEREST GROUP PROPOSALS: March 3, 2019. See How to Schedule an Interest Group at Annual Session.
  • APPLY TO VOLUNTEER WITH TEENS OR CHILDREN’S PROGRAM: TBD. A fantastic way for adults to experience Annual Session and have your registration fees waived as well. Click here for more information and the application form TBD. 
  • BUDGET REQUESTS: TBD. Annual Session is where we approve next year’s general budget and any augmentations to current year’s general or annual session budgets. Send requests and input to Finance Committee.
  • ATTENDANCE ASSISTANCE REQUEST: TBD. Access the form from within registration. Submit online or by mail. Ensure your Meeting communicates their decision about their portion of contribution by TBD. M&O will communicate decisions on TBD.
  • REGISTRATION or CANCELLATION: TBD to avoid late fees. After TBD registrations are subject to a 5% late fee and cancellations are subject to a $100 cancellation fee.
  • REPORTS: June 14, 2019. Committees, Officers and Representatives submitting reports for Annual Session should follow the instructions at the bottom of this page. INSTRUCTIONS WILL BE UPDATED FOR 2019
  • EVALUATION FOR ATTENDERS: TBD

  • Officers, Committee Clerks and other authors of advance documents please do the following:
    • See the Guidelines for Reports to Annual Session 2019 (TO BE UPDATED SOON — DO NOT USE THE 2018 ONES) for more detailed style guidelines and a template Word file you may use.
    • Send in your report as a .doc or .docx file –or equivalent– (rather than as email text or .pdf). This will help the Secretariat and Recording Clerks have access to the text and formatting as well as simplifying our document management process. You are encouraged to use this template Word file TO BE UPDATED SOON — DO NOT USE THE 2018 ONE.
    • Name your report file like this: CommitteeName_Report_to_AS_2019.doc or .docx. For example:
      • Ministry_and_Oversight_Report_to_AS_2019.doc,
      • Latin_American_Concerns_Report_to_AS_2019.docx
      • Note that the names are quite long enough without adding the word “Committee”.
    • Email by June 14, 2019 to the Assistant to the Clerk (Sharon Gates) <pymassistanttotheclerk@gmail.com>.
    • We will post your report here as a PDF that we will create from your .doc.
    • Documents received by the deadline will be assembled into an “advance packet” distributed electronically to all participants. Documents received late will be more difficult for participants to find and may be overlooked. So please submit your report by the deadline or earlier if you can manage it.
